Get each website enquiry to the person who can help.
Carlsbad Web & AI helps Carlsbad and North County service businesses plan and build the steps after a website enquiry. We work online and start with one workflow: which details arrive, where they go and who replies. Each project is scoped and quoted in writing.
- Carlsbad · Oceanside · Encinitas · San Diego
- We reply within two business days.
- You own the code
01 — Who this is for
Built for these people.
- Service businesses where a lead has to be called back before it becomes a job
- Owners handling new enquiries from a phone between jobs
- Teams copying the same details between tools
- Businesses that need one person to own the next reply
02 — What it sounds like
If you have said one of these, you are in the right place.
“Someone fills out the form and it sits in an inbox for two days.”
“We lose jobs to whoever calls back first, and it is not us.”
“I cannot tell whether the form actually reached us.”
“I am retyping the same customer details into three different tools.”
03 — What you end up with
The outcome.
A scoped workflow states which details go where, who replies and what happens if delivery fails. The live examples below show intake and handoff only.
Live, inspectable build. Measured business outcome pending client approval.
What this is not
- Your CRM stays. Connections to it depend on what its tools allow and the agreed scope.
- A person still handles the conversation and confirms the booking. This is not a call centre.
- Automatic replies and calendar reminders are separate steps. So are CRM updates and post-visit messages.
- Bulk email and cold outreach are outside this service.
04 / Proposed workflow
Follow one enquiry.
These 5 steps are a proposal to scope with you. The tools and messages depend on your quote; this is not a working integration.
01
Enter details
The visitor fills in the form.
02
Accept the form
Check required fields before sending.
03
Deliver the enquiry
Send the details to the agreed inbox or tool.
04
Show the send result
Tell the visitor whether sending was confirmed.
05
A person replies
The named owner follows up. A date request is not a booking.
If step 3 cannot confirm delivery
Show another way to contact the business, such as an email link or a prefilled WhatsApp message. Alert the owner through the agreed route. Do not show a success message when sending is unconfirmed.
05 — In practice
From the form to the person who replies.
These 2 client builds show specific enquiry steps already in use.

Triple G Payments
The rebate calculator carries its values into the review request, so the visitor does not type them again. This shows data moving between steps, not quote approval or a CRM connection.

Client work2026
Neil Granger Magic
Neil's 3 service pages use one enquiry form that emails him directly. If sending cannot be confirmed, it offers a prefilled WhatsApp message. A requested date is not a confirmed booking.
These examples do not demonstrate a complete automated workflow. We have no measured time savings or booking gains to report.
Your brief
Send us these 5 things.
- The URL of your current form
- The inbox or tool that should receive it
- The person responsible for replying
- The details that need to arrive with each enquiry
- Where it fails today, or which details you type again
Add this note to the audit form's improvement field. Tool names and a description are enough. Leave out passwords and customer records.
Get your free AI website auditWhat the quote must settle
- What starts the workflow and which fields it needs
- Where the details go and who owns the tool accounts
- What the receipt message says and who handles the human reply
- How retries work and how duplicate submissions are handled
- The visitor's fallback contact route and the owner's failure alert
- What monitoring and repairs the support agreement covers
- Which extra steps, if any, belong in this first workflow
Where Ada fits
Ada answers from the business content you supply and needs a route to a person. Adding Ada does not set up reminders, confirm bookings or update a CRM. Each of those steps needs its own scope.
06 — How it runs
Four steps, in this order.
Step 01
Map the current path
Describe one enquiry from form to reply. We map the manual steps and the point where it stalls.
Step 02
Scope one workflow
Agree on the tools and the steps to build. The quote names the message owner and what happens if sending fails.
Step 03
Build and test
Use marked test enquiries to check receipt and missing fields. Test a failed send and a repeat click before release.
Step 04
Agree on support
Set who checks the workflow after launch and what repairs are covered. Keep access in your own accounts.
07 — Scope and price
What it costs, and where it stops.
Automation is scoped per business, because it depends on the tools you already run and how many steps are worth automating. It is quoted before we start and is not part of the $29 or $59 monthly plans. No long contracts, and we begin with one workflow.
Website and Ada plan prices are published. Your automation price comes in the written quote after we agree on the workflow.
08 — Questions
Before you ask.
- How fast can the first automation be running?
- We confirm timing in the quote after checking your tools and access. We begin with one workflow; extra steps can be quoted separately.
- What do we have to supply?
- Start with the 5 items above. You also approve the wording of any receipt or reply included in the workflow. Messages go out under your name.
- Whose accounts is this built in?
- Yours. We use tools you own and pay for. You keep account access, so you can edit or switch off the workflow if we part ways.
- What happens when a tool changes or something breaks?
- A renamed field or a tool update can break a workflow. The quote defines the failure alert and the visitor's contact fallback. Monitoring and repairs depend on the support arrangement agreed before work starts.
09 — Start with the audit
Find out what is actually broken.
Send one URL and we will tell you the five things costing you the most, in writing, whether or not you hire us. We reply within two business days.
